COMPANY IDENTITY / DEFINITIONS


  1. The terms "WeTranslate", "Provider", "Platform", "ai.wetranslate.pro" and "website" refer to the company WeTranslate Complete Solutions SRL, in its capacity as Translation Services Provider – headquartered in Bucharest, B-dul. Nicolae Bălcescu, No. 5, Bl. Dunărea 1, Sc. 1, Fl. 1, Ap. 1, Sector 1, registered with the National Trade Register Office under no. J40/1811/2015, tax code RO 34110946;
  2. The terms "client", "user", "visitor" refer to all persons who access the website ai.wetranslate.pro, regardless of the reason.
  3. The terms "Regulation", "Agreement", "TOS", "Terms of Service” - designate this usage contract.
  4. The website wetranslate.pro / ai.wetranslate.pro and its entire content, as well as any other related subdomains, are the exclusive property of the WeTranslate company.

SECTION 2 - ACCEPTANCE OF THE TERMS OF USE


By using the Platform and/or any service provided by WeTranslate, it is considered that the user has read, understood, and fully accepted the terms and conditions of use of the platform and the services provided by WeTranslate, this document having the value of a contract between the user / visitor / customer and WeTranslate.

The user’s agreement applies to the entire wetranslate.pro website, its related subdomains, their content, as well as the services provided by WeTranslate.


Continued use of WeTranslate’s services and platform constitutes acceptance of the provisions of this agreement, and WeTranslate SHALL NOT BE HELD LIABLE for the user’s failure to read the Terms and Conditions detailed on this page.


IMPORTANT:

After completing the order on the Platform and making payment for the services, the order will be automatically created on the Platform with all details (supplied documents / translation direction / purchased services / billing details), which cannot be deleted for security reasons. Therefore, any requests to delete orders from the Platform (and the transmitted data) cannot be fulfilled.

If the user does not agree with the terms and conditions detailed on this "Terms and Conditions" page, we expressly request that they do not use the website or the services provided through it, and do not send any documents/information to WeTranslate.

  1. Through this platform, WeTranslate uses state-of-the-art AI technology (Artificial Intelligence) to deliver INSTANT translation services in more than 90 languages with 8,000 distinct translation contexts;

  2. The WeTranslate AI platform combines the power of instant AI-driven translation with document reproduction that maintains the same format and layout as the original source files, achieving a fidelity rate of 95% - 99%;

  4. The above temporary exclusions are due to incompatible file formats.

  5. In 2026, version 2.0 of the ai.wetranslate.pro platform will launch, featuring full reproduction capabilities for all files currently in the excluded category (images, photographs, scanned PDFs, and non-editable files).



SECTION 4 - SERVICES OFFERED

SERVICES PROVIDED


The ai.wetranslate.pro platform offers clients the following types of services:

  • PACKAGE
  • DESCRIPTION
  • ECONOMY:
  • Includes instant AI translation with no review / authorization / certification by a human translator (unauthorized translation)
  • OPTIMAL:
  • Includes AI translation + basic review by a certified translator in Romania to correct visible errors (certified translation)
  • PREMIUM:
  • Includes AI translation + detailed review by a certified translator in Romania to correct all possible errors (certified translation)

  • Depending on the client’s needs, they may choose from the 3 available packages, each with different delivery times, included services, and applicable limitations.
  • Translations created through AI technology are automated, using globally experimental technology, and may contain errors or omissions.
  • Services/translations from the Economy and/or Optimal packages cannot be used for official or legal purposes. For official/legal use, only the Premium package with extended (detailed) human review should be selected, with the client being responsible for choosing the appropriate service.
  • When placing an order, the platform will display the delivery time for each individual package, as well as the corresponding translation costs for all files uploaded by the client at that time.

SECTION 5 - SERVICE EXECUTION

SERVICE EXECUTION

  • The service execution process will begin after payment has been made, according to the package selected by the Client;
  • Payment for services will be made online by credit or debit card via the Stripe, Inc. payment processor;
  • Service delivery will be made by email to the address provided at the time the order is placed, within the delivery time displayed during checkout;
  • The translated files will be available as a download link in the email the Client receives upon service delivery;
  • If there are more than 5 files, the link provided upon delivery will contain a .zip archive that includes all translated files;
  • In the execution of services, WeTranslate has the right to subcontract to third parties, in whole or in part, any services or processes related to fulfilling the Client’s order. No prior consent from the Client is required in this regard, provided that such third parties are bound by confidentiality obligations and will process the data solely for the purpose of providing the services requested by the Client;

In the unlikely event that translations for the Economy or Optimal package are incomplete, the Client must send a request to comenzi@wetranslate.ro to have the order reviewed. The order number is required to identify the request.

Orders are managed through the ai.wetranslate.pro platform / Zoho Desk, and client correspondence is conducted via email addresses associated with the domains @wetranslate.pro / @wetranslate.ro / @wetranslate703.zohodesk.eu

SECTION 6 - BILLING AND PAYMENT OF SERVICES

Invoice Issuance

When the Client places an order, they must provide the necessary details for issuing and sending the tax invoice. The following information is required:

  • For Individuals: Full name and address
  • For Legal Entities: Company name, tax identification number, full address

Payment must be made in advance, online by credit or debit card, through the Stripe, Inc. online payment processor.

After the payment is completed, the invoice will be automatically issued and sent via the Smart Bill Cloud platform.

SECTION 7 - ORDER CANCELLATION

The client may request an order cancellation in the following cases:

  • REASON
  • AI PACKAGE
  • % REFUND
  • Translation not performed (completely)
  • Economy / Optimal
  • 100% Refund
  • Partial translation (+5% untranslated)
  • Economy / Optimal
  • 50% Refund
  • Incorrect / unusable translation
  • Premium
  • 100% Refund
  • Delivery delay greater than 1 hour
  • Economy / Optimal / Premium
  • 20% Refund

If the order falls under one of the above-mentioned cases, the Client must send a complaint to comenzi@wetranslate.ro, specifying the order number and the reason for cancellation. The refund will be processed within a maximum of 5 business days after verifying the order details, if the Client’s claim is deemed valid.

SECTION 8 - COMPANY RIGHTS

COMPANY RIGHTS

  • WeTranslate reserves the right to update the terms and conditions of its services periodically, without any obligation to notify users. The updated terms and conditions will be posted on this page, along with the date of the last revision.
  • Any changes are deemed accepted by users if they continue to use WeTranslate’s services after the updates are published.
  • Services/translations included in the Economy and/or Optimal packages may not be used for official or legally binding purposes.
  • In the event that, due to technical issues, services become temporarily unavailable, WeTranslate reserves the right to suspend service delivery until the technical problems are resolved. Clients will be notified of the service outage and will be unable to initiate/place/pay for new orders until the technical issues are fixed.

COMPANY / THIRD-PARTY LIABILITY

  • Translations generated using AI technology are automated translations, powered by highly advanced yet experimental technology, and may contain errors, omissions, or inconsistencies.
  • Services/translations in the Economy and/or Optimal packages cannot be used in the civil circuit, for official or legally binding purposes, and neither WeTranslate nor third parties (AI platforms / translators) can be held liable for any errors, omissions or inconsistencies.
  • For legally binding use of translations and full assumption of translation responsibility, only the Premium package with extended (detailed) human proofreading should be used. The Client is responsible for selecting the appropriate service based on their needs.
  • WeTranslate and its third-party partners are not liable in cases where the Client fails to read or acknowledge these terms in advance.

SECTION 9 - COPYRIGHT AND INTELLECTUAL PROPERTY PROTECTION

The entire content of the ai.wetranslate.pro platform is the exclusive intellectual property of WeTranslate and is protected in accordance with:

  • Romanian Law No. 8/1996 on copyright and related rights, republished in 2018;
  • The Paris Convention of 1883 for the Protection of Industrial Property, including all revisions and amendments made through 1979;
  • The Berne Convention of 1886 for the Protection of Literary and Artistic Works, revised in 1971;
  • The WIPO Copyright Treaty (WCT) of March 2002 and the WIPO Performances and Phonograms Treaty (WPPT) of May 2002;

Users may use the platform’s content solely for the purpose of purchasing services offered by WeTranslate.

It is strictly prohibited to copy, use, retrieve, distribute, reproduce, modify, or exploit, in whole or in part, for any commercial or non-commercial purpose, the content of the ai.wetranslate.pro platform or the source code through which it operates.

In the event of an infringement of intellectual property rights, the liable party shall owe WeTranslate the amount of   $ 10,000,000 ($10 million)  in moral and material damages, which includes the development costs of the source code for the AI technology and all functionalities of the ai.wetranslate.pro platform.

SECTION 10 - PROTECTION AND CONFIDENTIALITY OF PERSONAL DATA

All information/documents received from users/clients are considered confidential and will be handled accordingly, in compliance with the provisions of Art. 6(1)(f) of Regulation (EU) No. 679/2016 regarding the processing of personal data and the free movement of such data.

Information Notice

This document provides information on how personal data is processed within the services provided by WeTranslate.

According to the definition in Art. 4.1 of Regulation (EU) 2016/679 (GDPR), personal data refers to any information relating to an identified or identifiable natural person, directly or indirectly, particularly by reference to an identifier such as a name, identification number, location data, and/or to one or more factors specific to their physical identity. When using the WeTranslate website or communicating via email, you may be asked to provide the following information:

  • First and last name, email address, and contact phone number,
  • The documents that are the subject of the services you request,
  • The city/country where you are located and/or where you will use the documents/services or where we will deliver/provide the requested services;

Data Processing Responsibility

Based on the user’s acceptance of the use of the ai.wetranslate.pro platform and the services requested by clients, the personal data provided is processed by WeTranslate as a “data processor”:

Applicable Principles

In its data processing activities, WeTranslate applies the following core principles:

  • Minimization of collected data, ensuring the security and confidentiality of personal data;
  • Establishing storage periods based on the nature of the data and the purpose of processing;
  • Defining timelines for when personal data must be deleted or reviewed for deletion;
  • Training staff involved in the processing of personal data;
  • Upholding the rights of data subjects;

Processing Data in the Context of Using the WeTranslate Website and Services

When you access the WeTranslate website, we collect information about your access device and store this log data on our servers or those of our partners. The types of information we may collect include:

  • Browser types and versions used, the operating system used to access the website;
  • Date and time of website access;
  • IP address / Internet Service Provider (ISP) of the access device;
  • Other similar information used to safeguard our IT systems from cyberattacks.

For security reasons (for example, to prevent or identify potential cyberattacks on the WeTranslate website), we may store the above-mentioned information for up to 30 days, after which we will anonymize or delete the data.

The processing and temporary storage of IP addresses is based on Art. 6(1)(f) of GDPR, as displaying the website content and maintaining the security of our IT systems/servers represent the legitimate interest of WeTranslate.

Processing Data of Legal Entities and Their Employees

If a legal entity provides WeTranslate with personal data of its employees and/or clients, that legal entity is required to have the consent of the individuals whose personal data is being processed or transmitted to third parties. WeTranslate is not responsible for obtaining such consent from the individuals whose personal data is involved.

WeTranslate will process the data of such employees—such as their name, job title, phone number, email address, and/or any other data provided—exclusively for the purpose of performing or delivering services provided by WeTranslate within the contractual or pre-contractual relationship, in accordance with WeTranslate’s legitimate interest.

SECTION 11 - LEGAL BASIS, PURPOSE AND DURATION OF PROCESSING, USER RIGHTS

Legal Basis for Processing Personal Data

  • Art. 6.1(a) of the GDPR – based on obtaining the data subject’s consent for the processing of personal data;
  • Art. 6.1(b) of the GDPR – if processing is necessary for the performance of a contract to which the data subject is a party or to take steps at the data subject’s request before entering into a contract;
  • Art. 6.1(c) of the GDPR – if processing is necessary for compliance with a legal obligation;
  • Art. 6.1(f) of the GDPR – if processing is necessary for the legitimate interests pursued by WeTranslate;

Purpose of Processing Personal Data:

  • To review the requested services/documents related to the requested services in order to provide the client with a requested commercial offer;
  • To contact the client to provide information regarding the requested offer or the services provided;
  • To deliver the services requested by the client;
  • To issue tax documents in compliance with the applicable Tax Code;
  • To send electronic notifications regarding invoices;
  • To process online payments by card through the Stripe platform;

The data provided by clients/users will be processed until the purpose for which they were collected is fulfilled, namely until the requested services are executed and delivered, and payment for the provided services is completed.
To maintain a backup archive of the services provided to clients, WeTranslate may keep a copy of all data/documents provided, as well as the services rendered, for a period of 3 years from the date the services were performed.
During the processing period, data subjects have the right to request at any time the cessation of data processing, in which case WeTranslate will discontinue the services requested by the client.

Right to Modify and Delete Data

WeTranslate ensures the right of the data subject to modify the contact information they have provided.
If a request for data deletion is made, the provided/collected information will be deleted, except for accounting/tax records (invoices/receipts), the order history in the ai.wetranslate.ro platform, tickets created in the Zoho Desk system (emails, documents sent via email), and/or any other data required by applicable law.

Your Rights:

As a user of the WeTranslate website, you are entitled to the rights granted under EU Regulation No. 679/2016.

SECTION 12 - AUTHORIZATION OF THIRD PARTIES FOR PERSONAL DATA PROCESSING

Authorization of Third Parties for Billing, Hosting, and Technical Support Services

For the provision of its services, WeTranslate authorizes certain third parties on a strictly limited basis, in line with its legitimate interest. These WeTranslate-authorized processors handle data exclusively for the purpose for which it was shared with them, in accordance with Article 28 of the GDPR. The following authorized parties will retain personal data for the same period as WeTranslate processes it, as follows:

  • Artificial Intelligence (AI): Central Artificial Intelligence Agency Inc. / OpenAI Ireland Ltd. / OpenAI, LLC / Anthropic Ireland Limited / Google LLC
  • Billing / Accounting: SMARTBILL CLOUD (Intelligent IT SRL)
  • Card Payment Processing: MOBILPAY (Netopia SRL) / STRIPE, Inc. / Stripe Technology Europe, Limited (STEL)
  • Courier Services: TNT Express Worldwide N.V. and Fan Courier Express SRL

WeTranslate and its authorized processors use cookies to provide safer and smoother navigation, as well as to track and remember visitor preferences for statistical purposes, to inform, optimize, and deliver ads based on a user’s previous visits to the website.

WeTranslate places cookies on browsers that access the WeTranslate website. Users have the option to set their internet browser to block cookies. However, disabling these cookies may negatively affect navigation and the overall use of the website. Generally, cookies are divided into two distinct categories: essential and non-essential.

The tools and applications below help us understand how users interact with the WeTranslate website, and this analysis allows us to display customized ads and marketing content compatible with the visitor’s activity:

  • The Google Analytics platform is used by WeTranslate to analyze web traffic provided by Google, using cookies to help WeTranslate understand how users navigate the website, by compiling reports on visitor activity;

By accessing and using our website and services, you confirm that you have read, understood and accepted these Terms and Conditions in their entirety.
